Please read the house rules shared by Black Sea Central, Black Sea Otrada and Black Sea Panteleimonivska. They cover check-in and check-out, payment, staying with children and pets, safety, visitors and the use of hotel services.
These Rules apply to Black Sea Central, Black Sea Otrada, Black Sea Panteleimonivska and other hotels of the group, unless expressly stated otherwise.
The terms of a particular rate, booking confirmation or individual service may qualify these Rules. In the event of a conflict, the mandatory provisions of Ukrainian law and the terms communicated to the Guest before payment shall prevail.

1. General provisions
- 1. These Rules establish a single procedure for booking, check-in, payment, staying, using the room and shared areas, obtaining additional services, ensuring safety and checking out at Black Sea Hotel Group hotels.
- 2. The Rules apply to the Guest, persons staying with the Guest, visitors invited by the Guest, and to the customer who books or pays for services on behalf of another person. The Guest is responsible for making everyone present in their room aware of the safety and conduct requirements.
- 3. Making a booking, paying, checking in, signing the registration card or actually using the room confirms that the Guest had the opportunity to read these Rules and agrees to comply with them.
- 4. Individual hotels of the group may differ in their room mix, parking arrangements, conference rooms, smoking areas and other additional services. The availability of a particular service must be confirmed before booking or at reception.
- 5. The terms of a rate, voucher, booking confirmation, corporate contract or tour operator agreement may supplement these Rules. Such terms apply to the extent that they do not conflict with Ukrainian law.
2. Key terms
- Hotel — the relevant Black Sea Hotel Group property at which the Guest is provided with a room and other ordered services.
- Guest — an individual who books, pays for, intends to receive or actually receives hotel services.
- Customer — an individual or legal entity who orders or pays for services for themselves or for another Guest.
- Booking — an advance reservation of a room or additional services for specified dates and on agreed terms.
- Booking confirmation — a message from the Hotel or an official sales channel stating the booking number, dates, room category, rate and material terms.
- Check-out time — the set departure time by which the Guest must vacate the room, return the key card and settle the account.
- Visitor — a person who is not registered as staying at the Hotel but has been invited there by the Guest.
- Current price list — the list of prices for accommodation, additional services, compensation for damaged or lost property and special cleaning, available at reception.
3. Booking a room
- 1. Bookings may be made through the official Black Sea Hotel Group website, by telephone, by email, at reception, under a corporate contract, through a tour operator or via an online booking platform.
- 2. A booking is deemed confirmed once the Guest has received confirmation from the Hotel or the relevant sales channel. A verbal arrangement without confirmation does not guarantee room availability.
- 3. When booking, the Guest must provide accurate details: first and last name, contact telephone number, email address, dates of stay, number of adults and children, the need for an extra bed or a cot, the intention to stay with a pet and any other material circumstances.
- 4. The room category is guaranteed as stated in the confirmation. A specific room number, floor, view, bed layout or adjoining rooms are provided where possible, unless separately confirmed in writing as a guaranteed condition.
- 5. Room photographs on the website illustrate the typical fit-out of a category. The layout, furniture arrangement, décor, view and individual features may differ.
- 6. The Guest must check the details in the confirmation and report any errors immediately. The Hotel is not liable for the consequences of incorrect dates or contact details entered by the Guest or an intermediary.
4. Booking guarantee, prepayment and bank card
- 1. Depending on the rate, a booking may require prepayment, a bank card guarantee, or payment of the first night or the full price of the stay.
- 2. The terms for charging, holding funds, payment deadlines and refunds are set by the chosen rate and the booking confirmation. A non-refundable rate generally means payment with no right to a refund in the event of cancellation or a no-show, except where expressly provided by law or by the terms of the rate.
- 3. A bank card may be used to guarantee a booking, for pre-authorisation or for payment, only within the terms communicated. At check-in the Hotel may ask you to present the card or otherwise confirm your right to pay, where this is necessary to prevent fraud.
- 4. If payment is made by a third party, the Hotel may request a letter of guarantee, company details, confirmation from the payer or other documents needed to process the settlement correctly.
5. Changing and cancelling a booking
- 1. Changes to dates, room category, number of guests or other terms are possible only once confirmed by the Hotel and may result in a change of price.
- 2. The free cancellation deadline, the amount retained and the no-show rules depend on the rate, booking channel, season, group terms and special offers.
- 3. For bookings made through Booking.com, a tour operator or another platform, changes and cancellations are generally handled through the same channel. The Hotel cannot unilaterally change terms set by an intermediary where this would conflict with its agreement with them.
- 4. In the event of early departure, the recalculation is made in line with the terms of the rate and the services actually provided. Please inform reception of an early departure as soon as possible.
- 5. If the Guest does not arrive at the expected time and has not notified the Hotel of a late arrival, the booking may be cancelled as a no-show in line with its terms. For night-time arrivals we recommend confirming the approximate time in advance.
6. Documents required at check-in
- 1. A room is provided upon presentation of an original passport or other valid identity document accepted under Ukrainian law.
- 2. For children, a document confirming the child's identity or age must be presented and, where required, documents of the legal representative or other documents needed for a lawful check-in.
- 3. Foreign nationals and stateless persons must present a passport document and, where required by law, documents confirming the lawfulness of their stay in Ukraine.
- 4. A photograph, a copy of a document on a phone or a message with its details do not replace the original, unless expressly permitted by law or by the technical procedure for electronic identification.
- 5. The Hotel may refuse check-in if a person cannot be properly identified, if the documents show signs of invalidity, or if the check-in would breach the law.
7. Guest registration and accuracy of details
- 1. At check-in the Guest completes or checks the registration card, confirming the dates, number of persons, contact details, method of payment and awareness of the safety rules.
- 2. Only registered persons may stay in the room, within the maximum occupancy of the relevant category. Accommodating an additional person requires prior arrangement, registration and, where applicable, an additional charge.
- 3. The Guest is responsible for the accuracy of the details provided. Please inform reception of any change to your contact telephone number, the persons staying or the length of stay.
- 4. The Hotel may refuse to issue a key card to a person who is not registered in the room and cannot confirm their identity and right of access.
8. Check-in and check-out times, early check-in and late check-out
- 1. Standard check-in time is from 14:00 local time.
- 2. Standard check-out time is until 12:00 local time.
- 3. Early check-in between 06:00 and 14:00 is charged at 50% of the daily room rate. The service is provided only if a room is ready and once confirmed by reception.
- 4. Late check-out between 12:00 and 18:00 is charged at 50% of the daily room rate. The service is provided only by prior arrangement and subject to availability.
- 5. Late check-out after 18:00 is charged at 100% of the daily room rate and is possible only once confirmed by reception.
- 6. Arrival before 06:00 usually requires booking the previous night or agreeing separate terms with the Hotel. The exact amount must be agreed before arrival.
- 7. Luggage storage before check-in or after check-out is provided free of charge, subject to space and to the safety rules.
- 8. Reception is open around the clock, 24 hours a day, 7 days a week. Night-time check-in is possible with a valid confirmed booking. Please let us know your approximate arrival time in advance if you expect to arrive after midnight.
9. Payment procedure and final settlement
- 1. At check-in the Guest pays the full price of the planned stay, unless otherwise provided by the booking confirmation, a corporate contract or a written payment guarantee.
- 2. Additional services are paid for when ordered, when provided or at check-out, depending on the type of service and the account settings.
- 3. At check-out a final settlement is made for the services actually provided, the minibar, the restaurant, late check-out, special cleaning, a lost key, damage to property and other charges in line with the current price list and the confirmed circumstances.
- 4. The Guest is entitled to receive a settlement document in the form required by law. An electronic document may be sent to the email address or telephone number provided.
- 5. If a charge is disputed, the Guest should contact reception before departure or as soon as possible after noticing it, quoting the booking number and providing supporting materials.
10. Tourist tax
- 1. Tourist tax is levied in the cases and at the rate set by the Tax Code of Ukraine and by the decision of the relevant local council.
- 2. The Hotel may act as a tax agent and include the tourist tax on the invoice as a separate line.
- 3. Persons legally entitled to an exemption from the tourist tax must provide the appropriate supporting documents before check-in is completed. Without such documents the Hotel cannot apply the exemption on its own.
- 4. The list of exempt categories and the documents required may change. Please check the current information at reception.
11. Staying with children
- 1. Children stay at the Hotel together with their parents, adoptive parents, guardians, custodians or other persons with a lawful basis to accompany the child.
- 2. Children under 5 stay free of charge. For such a child, an extra bed and a cot are also provided free of charge if needed.
- 3. For other guests, an extra bed costs UAH 300. An extra bed and a cot are provided on prior request, subject to availability and to the maximum permitted occupancy of the room.
- 4. Parents or accompanying persons are responsible for children's safety and must not leave young children unattended in the room, the lift, on the stairs, near windows, in the restaurant, in the shelter or in other areas.
- 5. Children must not be allowed to play with fire detectors, emergency buttons, electrical equipment, door closers or other technical devices.
12. Staying with pets
- 1. Pets are accepted only by prior arrangement with the Hotel. The charge for the service is UAH 500. Dogs of fighting breeds are not accepted.
- 2. You must inform us about a pet before paying for the booking and receive confirmation that it can be accommodated. Bringing a pet without disclosure is grounds for an additional charge of UAH 500, a move to another room, or termination of the stay if the Hotel cannot provide the service safely.
- 3. The owner must hold a veterinary passport and documents on mandatory vaccinations where these are required by law or by transport rules.
- 4. In shared areas a dog must be kept on a lead and, in the cases provided by law or warranted by its behaviour or breed, muzzled. Other animals must be carried in a secure carrier.
- 5. A pet must not be left unattended if it may make noise, damage property or pose a risk to people. The Guest must agree a time for room cleaning and either be present or keep the pet safely contained.
- 6. Pets are not allowed on the beds and must not use hotel linen, tableware or bathroom fittings. The owner must use their own pet bed, bowls, towels and grooming supplies.
- 7. The owner must clean up after the pet immediately and is responsible for noise, odours, soiling, bites, injuries and damage. Special cleaning and the restoration of property are charged at actual cost or in line with the current price list.
- 8. Pets' access to the restaurant, the breakfast area, the kitchen, the fitness area, the pool, children's areas and other special areas may be restricted by sanitary rules. Guide dogs and other assistance animals are subject to the requirements of the law, with the assistance needed agreed individually.
13. Guest's visitors
- 1. Visitors must report to reception, present an identity document where this is necessary for security reasons, and give the room number or the Guest's name.
- 2. The Guest must confirm that they agree to the visit. Staff do not disclose a room number to a third party without the Guest's permission.
- 3. A visitor is not issued a key card and may not remain in the room while the registered Guest is absent, unless separately agreed.
- 4. During quiet hours, unregistered visitors must not be present in the accommodation area. A person staying overnight must be registered as an additional Guest, and the stay may be subject to an additional charge.
- 5. The Guest is responsible for the conduct of the persons they invite, for their compliance with these Rules and for any damage they cause.
- 6. The Hotel may restrict visits where room occupancy is exceeded, quiet hours are breached, safety is at risk, sanitary restrictions apply, in an emergency or at the reasonable request of law enforcement.
14. Keys and key cards
- 1. A key or key card is issued to the registered Guest at check-in. Passing it to third parties is not allowed.
- 2. For your own safety, do not state your room number together with a lost key, and do not keep the card next to documents showing the Hotel's address.
- 3. If a key card is lost or stolen, inform reception immediately so that the previous key can be deactivated. A replacement is issued once the Guest has been identified.
- 4. The cost of a lost or damaged card or key may be added to the account in line with the current price list.
- 5. At check-out the key card must be returned to reception, unless the Hotel uses single-use or mobile keys.
15. Using the room
- 1. The room is intended solely for the temporary accommodation of registered persons. It must not be used as an office receiving visitors, a storage space, a retail outlet, a studio, a venue for paid events or for any unlawful activity.
- 2. The Guest must keep the room in a proper sanitary condition and treat the furniture, textiles, bathroom fittings, appliances and other items with care.
- 3. It is not permitted to move heavy furniture, dismantle equipment, stick materials to the walls, remove property from the room, change the settings of building systems or carry out repairs.
- 4. Towels, robes, bed linen, tableware, decorative items and other property belong to the Hotel. Removing them or using them for other purposes is charged as loss or damage.
- 5. When leaving the room, close the windows, turn off the water, switch off appliances that do not need to run continuously and lock the door. The card in the energy-saving slot must not be blocked with other objects.
- 6. Please report any faults, leaks, smell of smoke or gas, damage, missing items or traces of previous soiling to reception as soon as you notice them. This allows us to resolve the issue quickly and to record its origin correctly.
16. Cleaning and staff access to the room
- 1. Scheduled cleaning is carried out according to the Hotel's timetable. The time can be arranged with reception, but fulfilling an urgent request depends on the housekeeping workload.
- 2. A "Do not disturb" sign is a request not to carry out routine cleaning. It does not prevent access in an emergency, on a fire alarm, in the event of a leak or a threat to life, on reasonable suspicion of danger, or where a lawful demand must be met.
- 3. If a "Do not disturb" sign is used for a long period, the Hotel may contact the Guest to check on their safety. If there is no response, authorised staff may enter the room in accordance with internal procedure.
- 4. A room with a pet is cleaned only under agreed safe conditions. The Hotel may postpone cleaning if the pet is not confined or behaves aggressively.
- 5. Soiling beyond the scope of routine cleaning, biological soiling, persistent odours, paint, wax, confetti, glitter, glue or other difficult contaminants may require special cleaning at an additional charge.
17. Maximum number of persons and no-party policy
- 1. The number of persons in a room may not exceed the capacity of the category or the number of registered Guests.
- 2. Parties, loud celebrations, mass gatherings, the use of sound systems, karaoke or DJ equipment and other events in guest rooms are not allowed without prior written agreement.
- 3. Banquets, meetings, presentations and photo shoots should be held in the restaurant, banquet hall or conference facilities where these are available at the particular hotel.
- 4. In the event of a breach, the Hotel may require the event to stop immediately, ask unregistered persons to leave, call security or the police, and terminate the stay in accordance with the law and the terms of the booking.
18. Quiet hours and respect for other guests
- 1. Quiet hours at the Hotel are from 22:00 to 08:00. During this period please turn down the television, music, conversations and phone calls, avoid slamming doors and do not make noise in the corridors.
- 2. At any time of day, conduct that disturbs other guests' rest is prohibited: shouting, threats, aggression, harassment, fighting, repeated unwarranted knocking on doors and running loud devices.
- 3. If a complaint is received, staff may contact the Guest and require the breach to stop. A repeated or serious breach may be grounds for early termination of the stay, without compensation for services the Hotel was unable to provide through the Guest's fault, within the limits of the law.
- 4. Guests must show respect to staff and other visitors. Discriminatory remarks, sexual harassment, threats and insults are not tolerated.
19. Smoking and the use of nicotine products
- 1. Smoking tobacco products, e-cigarettes, hookahs and heated tobacco devices (including IQOS, glo, Ploom and similar) is prohibited in rooms, bathrooms, corridors, lobbies, lifts, stairwells, restaurants and other indoor areas, except in places designated by law and marked as such.
- 2. Smoking on a balcony, terrace, by an open window or by an emergency exit is allowed only where the Hotel has officially marked that place as a smoking area. An open window does not turn a room into a smoking area.
- 3. At Black Sea Central the smoking room is on the second floor of the restaurant hall and is available only during restaurant opening hours. At other times guests may use the marked area by the hotel entrance. At Black Sea Otrada and Black Sea Panteleimonivska, please check the smoking area at reception.
- 4. Covering, removing, taping over or otherwise disabling fire detectors is prohibited. Such actions endanger life and may lead to immediate termination of the stay.
- 5. Smoking in a room or in any other restricted area incurs a penalty of 100% of the daily room rate. If the breach has caused additional confirmed damage, the cost of special cleaning, restoration of property or room downtime is compensated separately in line with the current price list and the law.
20. Alcohol, prohibited substances and public order
- 1. The consumption of alcohol must not disturb the peace, safety or dignity of others. The Hotel may refuse further service to a person whose conduct poses a genuine threat.
- 2. Storing, using, producing or distributing narcotic, psychotropic or other prohibited substances is forbidden.
- 3. Unlawful gambling, prostitution, trading, fraud, violence and any other illegal activity are prohibited.
- 4. Where an offence is reasonably suspected, the Hotel may contact law enforcement and take measures to protect people and property.
21. Fire safety
- 1. After checking in, the Guest should familiarise themselves with the evacuation plan and the location of the nearest exit, stairs and fire extinguisher. The evacuation plan is displayed in the room or on the walls in the hotel's shared areas.
- 2. Candles, sparklers, fireworks, burners, hookahs, open flames, flammable liquids and equipment not included in the room's fit-out must not be used in the room or on the premises.
- 3. Cooking on your own hotplates, immersion heaters, multicookers, grills or other heating devices is not allowed. Only the room's standard equipment may be used, in accordance with its instructions.
- 4. Corridors, stairs, doorways, emergency exits and access to fire extinguishers must not be obstructed, and trolleys, bicycles, suitcases and other items must not be left there.
- 5. If you smell burning, see smoke or discover a fire, inform reception immediately, activate the manual call point if one is installed nearby, leave the building by the stairs and do not use the lift.
- 6. On a fire alarm, take your key and documents only if this does not delay your evacuation, close the door without locking it, follow the signs and comply with the instructions of staff and the emergency services.
22. Electrical safety and use of appliances
- 1. Before using an appliance, check it for visible damage. Report a faulty socket, cable, hairdryer, kettle, air conditioner or other device to reception and do not use it.
- 2. Repairing appliances yourself, opening electrical panels, using damaged extension leads, overloading sockets or charging batteries of doubtful origin is prohibited.
- 3. High-power appliances — heaters, irons, hotplates, charging stations, large batteries and professional equipment — may be used only with the management's agreement.
- 4. Charging e-bikes, e-scooters, large traction batteries and similar devices in the room is prohibited unless a designated place has been provided for this.
- 5. When leaving the room, unplug personal heating and charging devices unless the manufacturer provides for their safe unattended operation.
23. Air raid alerts and other wartime risks
- 1. The shelter is located on the first basement floor (level -1). Information on the route and access arrangements is displayed at the Hotel and provided by reception.
- 2. During an air raid alert we recommend that the Guest goes without delay to the shelter on the first basement floor (level -1), taking documents, any necessary medication, water and warm clothing, and does not use the lift if staff have announced restrictions.
- 3. Parents and accompanying persons are responsible for children, and owners for moving their pets safely. Passageways must not be blocked with suitcases or bulky items.
- 4. Staff provide practical information, but the Hotel cannot guarantee absolute safety from the consequences of hostilities. Guests must follow official announcements from the authorities and the State Emergency Service.
- 5. During an alert, the restaurant, lifts, cleaning, check-in, luggage release and other services may be temporarily suspended for safety reasons.
- 6. During curfew, access to the Hotel and movement around the city are subject to the restrictions in force. The Guest plans their own route and arrival time and informs reception of any delay.
24. Power, water and communication outages and breakdowns
- 1. Breakdowns, planned works, hostilities or decisions by utility providers may cause temporary interruptions to electricity, water, heating, air conditioning, telephone service and the internet.
- 2. Even where backup power is available, it may supply only critical systems — emergency lighting, reception, communications, certain pumps or other designated equipment. Sockets, air conditioners, lifts and appliances may temporarily not work.
- 3. The Hotel takes reasonable steps to restore services and keep Guests informed, but is not liable for interruptions beyond its control, to the extent permitted by law.
- 4. In the event of an emergency risk, the Hotel may temporarily move the Guest to another room, restrict access to part of the building or arrange another available solution.
25. Lifts, stairs and shared areas
- 1. Observe the maximum load capacity of the lift, do not block the doors, do not jump inside the car and do not let children use the lift without proper supervision.
- 2. The lift must not be used during a fire alarm, in smoke, during a breakdown or when staff advise against it.
- 3. In corridors and lobbies, do not leave personal belongings unattended, run, ride bicycles or scooters, or create obstructions.
- 4. Wet floors, stairs and the entrance area in wet weather can be slippery. Please use the handrails and observe the warning signs.
26. Wi-Fi and electronic services
- 1. Wi-Fi access is provided as an additional service where it is available at the particular hotel. Speed and continuity depend on the load, the equipment and external operators.
- 2. The Guest is responsible for protecting their own device, using strong passwords, not transmitting confidential data over unsecured services and not leaving devices unattended.
- 3. The network must not be used for cyberattacks, sending spam, infringing copyright, accessing prohibited material, interfering with the network or any other unlawful activity.
- 4. The Hotel may limit speed, block a device that poses a threat, or temporarily suspend the service for maintenance.
- 5. The Hotel is not responsible for the network's compatibility with particular corporate VPNs, gaming services, devices or applications.
27. Valuables, the safe and liability for the Guest's property
- 1. We recommend that Guests do not leave money, bank cards, documents, jewellery, securities, professional equipment or other valuables unattended.
- 2. If the room has a safe, please use it in accordance with the instructions and check it before departure. Do not disclose the code to anyone.
- 3. Money, securities and jewellery are accepted for safekeeping by the Hotel under a separate procedure where this service is available. The Hotel's liability for property is determined by Ukrainian law, in particular by the rules on the safekeeping of property at a hotel.
- 4. Any loss, damage or signs of unauthorised access should be reported to reception immediately, without disturbing the scene, together with a description of the item. A delayed report may make investigation more difficult.
- 5. The Hotel is not liable for loss caused by the Guest's own actions, by persons the Guest invited or admitted to the room, by the natural properties of the item, by force majeure or by other circumstances for which the Hotel is not responsible.
28. Luggage storage and baggage
- 1. Luggage storage or temporary baggage keeping is provided free of charge, subject to space and once arranged with reception.
- 2. Baggage must be closed and suitable for safe storage. The Hotel may ask to inspect an item or refuse to accept items that pose a risk.
- 3. Weapons without the appropriate documentation, explosive, flammable, toxic and narcotic substances, perishable goods, live animals, money and valuables are not accepted as ordinary baggage.
- 4. A baggage receipt and an identity document may be required on collection. We do not recommend passing the receipt to another person.
- 5. Baggage storage is free of charge. The storage period and the handling of unclaimed baggage are governed by the Hotel's current procedure and by law.
29. Lost and found
- 1. If a Guest realises that they have left an item behind, they should contact the Hotel, give their full name, dates of stay, booking or room number and describe the item in detail.
- 2. A found item is logged and kept in accordance with internal procedure and the law. The Hotel cannot guarantee that an item will be found if it is reported late or described insufficiently.
- 3. A found item is handed over once the owner has been identified. Sending it by post or courier is possible by arrangement and is generally paid for by the recipient.
- 4. Documents, bank cards, weapons, hazardous substances and other special items may be handed over to the competent authorities. Perishable, hygienically unsafe or low-value items may not be kept for long.
- 5. Before departure we recommend that Guests check the safe, sockets, wardrobes, the bathroom, under the bed and their chargers.
30. Parking
- 1. The availability, address, opening hours, price and rules of parking differ between hotels. A space is not guaranteed unless separately confirmed.
- 2. The Guest must observe the road markings, signs and the instructions of security staff or the administrator, and must not block driveways, fire service access, barriers or spaces for people with disabilities.
- 3. Unless a separate guarded storage service has been expressly arranged, parking is a place for the temporary placement of a vehicle and not a safekeeping contract. Do not leave valuables in the car.
- 4. Repairs, washing, draining technical fluids, prolonged engine running, storing fuel and charging from unauthorised sockets are prohibited.
- 5. Any damage, road accident or suspicious situation must be reported immediately to the person in charge and, where necessary, to the police.
31. Charging electric cars and personal electric vehicles
- 1. Charging is allowed only at a designated charging station or in a place agreed with the Hotel in writing or verbally.
- 2. Running cables across walkways and connecting to sockets in rooms, corridors, technical or restaurant areas without permission is prohibited.
- 3. The Guest is responsible for the condition of the cable, adapter and vehicle. If you notice heating, an odour, sparking or a charging error, stop the process immediately.
- 4. The price, power, availability and permitted duration of use of a charging point are determined by the particular hotel.
32. Restaurant, breakfast and food delivery
- 1. Breakfast is served daily from 08:00 to 12:00. The price of breakfast is UAH 350.
- 2. The restaurant is open until 20:00. Last orders are taken at 19:30. Breakfast may be included in the chosen rate or paid for separately. An unused breakfast is not exchanged for a cash refund, unless the rate provides otherwise.
- 3. Please tell us about allergies, food intolerances and special diets before ordering. The Hotel makes reasonable efforts, but the kitchen may use shared equipment and cannot guarantee the complete absence of allergen traces.
- 4. Food delivered by third-party services is handed over at reception or another designated point. Courier access to guest floors may be restricted.
- 5. Restaurant tableware and equipment must not be left in the corridors without informing staff, nor taken outside the Hotel.
33. Conference rooms, banquet halls and other special facilities
- 1. The use of a conference room, banquet hall, the restaurant for an event, the fitness area or other special facilities is governed by a separate order, menu, technical specification or contract.
- 2. Set-up time, the number of participants, equipment, music, décor, contractors, photography and filming, catering and cleaning are agreed in advance.
- 3. The organiser is responsible for the conduct of participants, the safekeeping of property, compliance with fire safety and finishing the event on time.
- 4. Fireworks, open flames, smoke machines, confetti, adhesive materials and high-power electrical equipment must not be used without separate permission.
34. Photography, filming and privacy
- 1. Personal photography and filming for private purposes is allowed, provided it does not disturb the peace, safety or privacy of other guests or the work of staff.
- 2. Commercial, advertising, professional or staged shoots, the use of drones, additional lighting and tripods, and bringing in a film crew require prior agreement.
- 3. Filming other guests without their consent in situations where they reasonably expect privacy, and publishing their personal data, is prohibited.
- 4. Internal documents, security system screens, access keys, technical rooms and procedures whose disclosure creates a risk must not be photographed or filmed.
- 5. Filming staff must not interfere with their work. It is better to record a request or complaint through the duty manager, stating the time and circumstances.
35. CCTV in shared areas
- 1. For the safety of people and property, CCTV may operate at entrances, in lobbies and corridors, near reception, in car parks and in other shared areas.
- 2. CCTV is not used in guest rooms, bathrooms or other places where a person has a heightened expectation of privacy.
- 3. Recordings are processed with restricted access and may be provided to the competent authorities on a lawful basis. The retention period is determined by the security purpose, technical capacity and internal policies.
36. Personal data and confidentiality
- 1. The Hotel processes the personal data needed for booking, concluding and performing the contract, check-in, payment, accounting and tax records, security, handling enquiries and meeting legal obligations.
- 2. Such data may include your full name, contact details, identity document details, date of birth, citizenship, booking and payment data, special requests, correspondence and CCTV recordings from shared areas.
- 3. Data may be transferred to payment systems, booking services, contractors, accounting and IT providers, state authorities and other recipients only to the extent necessary for the relevant lawful purpose.
- 4. The Guest has the rights provided by the Law of Ukraine "On Personal Data Protection", in particular the right to obtain information about the processing, to request the correction of inaccurate data and to submit a request to the data controller.
- 5. Marketing messages are sent only where there is a proper legal basis. You can opt out using the instructions in the message or through the Hotel's contact details.
- 6. Do not send full bank card details, a PIN or CVV, passwords or copies of documents over unsecured channels unless the Hotel has expressly provided a secure method.
37. Accessibility and assistance for guests with disabilities
- 1. Please tell us before booking if you need a step-free route, an accessible room, a parking space, help with luggage, an assistance animal or any other support.
- 2. The architectural and technical capabilities of the group's buildings differ. The Hotel provides accurate information about the actual conditions and offers a workable solution within its capabilities.
- 3. Staff can help with orientation and arranging services, but do not provide medical care unless this has been separately ordered as a specialist service.
- 4. During an evacuation or air raid alert, please inform reception if you need assistance.
38. Medical assistance and emergencies
- 1. If you feel unwell, contact reception. Staff can call emergency medical services, provide a first aid kit within its intended use, or help you contact a medical facility.
- 2. Staff do not make diagnoses, do not prescribe medication and cannot guarantee the arrival time of external services.
- 3. If there is an immediate threat to life, call 103 or 112 and inform reception so that medics can be given access.
- 4. Please report any infectious illness that may pose a risk to others so that safe measures can be agreed. The Hotel maintains confidentiality within the limits of the law.
39. Weapons and dangerous items
- 1. Weapons may be stored or carried only by persons with a lawful basis who comply with the rules on safe storage. The Hotel may introduce additional security procedures within the limits of the law.
- 2. Bringing in explosives, ammunition without lawful grounds, fireworks, toxic or radioactive materials, flammable liquids in dangerous quantities and other items that create a hazard is prohibited.
- 3. Displaying or using a weapon to intimidate is not permitted. The loss of a weapon or dangerous item must be reported to the police and the management immediately.
40. Guest's liability for damage
- 1. The Guest compensates damage caused by them, by persons staying with them, by their visitors or by their pet.
- 2. Damage may include a lost key; damage to furniture, doors, textiles, bathroom fittings, electronics, fire systems, walls, windows and tableware; and the cost of special cleaning, odour removal and room downtime.
- 3. Damage is recorded by a report, photographs, video, explanations from staff or the Guest, service documents or other evidence. The amount is determined by the price list or by the actual, justified costs.
- 4. The Guest is entitled to information about the charges. If the exact cost of repair is not known at the time of departure, the Hotel may submit a substantiated claim after receiving the invoices, within the limits of the law.
- 5. Deliberate damage, theft or interference with security systems may be referred to law enforcement.
41. The Hotel's right to enter a room
- 1. The Hotel respects the Guest's privacy. Scheduled access takes place for cleaning, maintenance or the delivery of ordered services, taking the "Do not disturb" sign into account.
- 2. Without prior consent, authorised staff may enter in the event of fire, a leak, an alarm, a threat to life or property, the need to provide urgent assistance, a lawful demand from a competent authority, or where there is a reasonable inability to contact the Guest.
- 3. After the end of the stay, if the Guest has not vacated the room and has not agreed an extension, the Hotel may open the room in accordance with internal procedure, make an inventory of the items left behind, pack them and place them in storage.
- 4. Where possible, emergency access or access after check-out takes place in the presence of at least two authorised employees or with the use of recording devices.
42. Refusal of accommodation or termination of the stay
- 1. The Hotel may refuse accommodation or require the stay to be terminated in the cases provided by law, in particular if:
- there is no document allowing a person to be properly identified;
- the booking is not confirmed or has not been paid for in line with its terms;
- the number of persons exceeds the room's capacity and the Guest refuses to register the additional stay;
- the Guest poses a genuine threat to life, health or property, or grossly breaches public order;
- a breach of quiet hours, the smoking ban, fire safety or the visitor rules is repeated after a warning;
- the Guest refuses to pay for services duly provided or to compensate obvious damage;
- the service cannot be provided safely because of a breakdown, damage to the building, a decision of the authorities or another emergency circumstance.
- 2. The decision is taken having regard to the specific circumstances, the principle of non-discrimination and the requirements of the law. Where possible, the Hotel explains the reason and the procedure for the final settlement.
43. The Hotel's obligations
- 1. To provide the Guest with the confirmed room or a reasonable alternative solution if the failure to do so is the Hotel's fault.
- 2. To make known the main terms of the service, the price, the check-out time, the payment rules, the available services and any material restrictions.
- 3. To maintain proper sanitary conditions, working equipment, the confidentiality of information and reasonable security measures.
- 4. To respond to enquiries, faults and complaints within a reasonable time, taking their urgency into account.
- 5. To provide settlement documents and issue other documents within the limits of the law and the payment actually received.
- 6. To prevent discrimination and to respect the Guest's dignity.
44. The Guest's obligations
- 1. To provide accurate details and documents and to pay for the stay and additional services on time.
- 2. To comply with these Rules, fire safety requirements, public order and the lawful instructions of staff.
- 3. To respect other guests, staff and the right to quiet and privacy.
- 4. To treat property with care and to report breakdowns, damage, hazardous circumstances and the loss of a key immediately.
- 5. Not to pass the room or key to third parties and not to allow unregistered persons to stay.
- 6. To vacate the room at the set time on departure, return the key and settle the account.
45. Force majeure and circumstances beyond the parties' control
- 1. Circumstances beyond reasonable control may include hostilities, shelling, acts of terrorism, decisions of the authorities, curfew, epidemics, fires, natural disasters, utility failures, prolonged outages, strikes by external services and other extraordinary events.
- 2. In such circumstances the scope, procedure or timing of services may be changed for safety reasons. The parties must inform each other and take reasonable steps to minimise the consequences.
- 3. Rescheduling dates, refunds or alternative accommodation are decided having regard to the rate, the services actually provided, the ability to perform the obligation and the law, rather than automatically in the same way in every case.
46. Enquiries and complaints procedure
- 1. To resolve a problem as quickly as possible, please contact reception during your stay. Most technical and service issues can only be put right if staff learn of them in good time.
- 2. In your enquiry, state your full name, the hotel, the booking or room number, the dates, a description of the situation and your preferred resolution, and attach photographs, receipts or correspondence where relevant.
- 3. A written enquiry may be submitted at reception or through the official contacts on the website. A reply is provided within the period set by law or needed to investigate.
- 4. Publishing a review does not replace reporting a breakdown, lost property, a hazard or a refund request. Formal handling requires details that allow the booking to be identified.
47. Checking out
- 1. By 12:00 the Guest must vacate the room, check their personal belongings, turn off the water, close the windows, return the key card and complete the final settlement.
- 2. Please inform reception of your departure even if the account has been paid in advance. This allows us to deactivate the key, take in your luggage and issue documents.
- 3. If needed, the Guest may request an electronic invoice, a report or invoice for their company, a taxi or luggage storage. Some documents require details to be provided in advance.
- 4. If the room is not vacated on time without prior agreement, the Hotel charges for late check-out and may apply the procedure described in the section on access to the room.
48. Validity and amendment of the Rules
- 1. These Rules take effect from the date of publication or approval and remain in force until replaced by a new version.
- 2. The Hotel may update the Rules in response to changes in the law, its range of services, the security situation or internal procedures. Bookings already confirmed are subject to the terms communicated when they were made, except for mandatory safety and legal requirements.
- 3. If an individual provision is found to be invalid, this does not affect the validity of the remaining provisions.
- 4. In matters not governed by these Rules, the parties are guided by Ukrainian law, the booking confirmation, the current price list and the specific rules of the particular service.
